Ordering and certification
Do I need EPA certification to buy refrigerant?
Many refrigerant purchases require an applicable EPA Section 608 or Section 609 certification. The required certification depends on the intended application and product. A limited exception exists for certain small MVAC substitute refrigerant cans of two pounds or less that use unique fittings and self-sealing valves.
Can a company purchase refrigerant for its certified technicians?
Generally, an employer or authorized representative may purchase when it provides documentation showing that it employs at least one properly certified technician. We may request the technician credential and proof of the employment relationship or authorized purchasing account.
When will you request certification documents?
Restricted orders may be placed on hold before fulfillment while eligibility is reviewed. Follow the verification instructions provided during or after checkout. An order confirmation is not a guarantee that verification has been completed.
Can a Section 609 technician purchase stationary HVAC refrigerant?
No. Section 609 applies to qualifying motor vehicle A/C work and does not authorize the purchase of refrigerant intended for stationary refrigeration or air-conditioning systems. Stationary applications generally require Section 608 eligibility.
Products and compatibility
How do I know which refrigerant my system uses?
Check the equipment nameplate, under-hood label for a vehicle, manufacturer service documentation, and the existing system specifications. Do not rely only on cylinder color. If uncertain, consult a qualified technician.
Can I replace one refrigerant with another?
Do not assume refrigerants are interchangeable. Pressure, oil compatibility, component requirements, charge procedures, flammability classification, and legal restrictions may differ. A retrofit must follow equipment-manufacturer guidance and applicable law.
Do you provide Safety Data Sheets?
Product-specific SDS documents may be available from the manufacturer or supplier. Contact support with the exact refrigerant and product name if the document is not linked on the product page.
Are cylinder colors a reliable way to identify refrigerant?
No. Always identify the refrigerant by the product label, designation, documentation, and system requirements. Packaging colors can vary.
Shipping, delivery, and returns
How long does shipping take?
Standard U.S. shipping is free on eligible products. Our target processing time is 1–2 business days after payment, eligibility, and address checks are complete. Typical transit is estimated at 3–7 business days after dispatch, but hazardous-material routing, weather, carrier delays, and destination restrictions can affect delivery.
Can refrigerants be shipped by air or expedited service?
Some products or destinations may be limited to compliant ground transportation. An expedited option shown for other store products may not be available for a refrigerant cylinder.
What should I do if my order arrives damaged?
Do not use a leaking, punctured, badly dented, or otherwise unsafe cylinder. Move away from the package if there is an active leak and follow emergency guidance appropriate to the product. Photograph the shipping box, label, cylinder, and damage, then contact support promptly.
Can I return a refrigerant cylinder?
Eligible standard returns generally require a request within 30 days and an unopened, unused, sealed product in original packaging. Cool Gas Depot covers approved return shipping. A 20% restocking fee applies to a voluntary standard return, but not to a confirmed wrong, defective, or transit-damaged item. Never send a cylinder back without written authorization and return instructions.
Account, payment, and tracking
When is my card charged?
Payment authorization and capture timing can depend on the checkout method and order review process. We may cancel and refund an order that cannot be verified, shipped lawfully, or fulfilled.
How can I track my order?
Use the tracking link in your shipping confirmation or visit our Order Tracking page. Tracking may take time to update after the carrier receives the package.
